Grab your notebook because these are the seven steps you need to start doubling your productivity.
1. Map Out Your Time
First up, let’s talk about time. Start by mapping out your entire week. This includes everything—family commitments, exercise routines, spiritual activities, and even that pesky day job if you're still juggling both.
Once everything’s laid out, see what’s left for your business. Whether you’re working full-time or just a few hours a week, knowing exactly how much time you have will give you a clear picture of your available resources.
2. Adopt Theme Days
When I first implemented this, it transformed my productivity. The key is to group similar tasks together.
For example, designate a specific day for content creation—no coaching calls or admin work on this day, just pure content focus. Similarly, set aside a finance day for all your number-crunching tasks.
This way, you minimise distractions and maximise efficiency by focusing on one type of task at a time.
3. Create a ‘Don’t-Do’ List
You’ve got your to-do list, but what about a ‘don’t-do’ list?
As you work through your daily tasks, jot down anything that feels outside your expertise or is something you shouldn’t be doing. This list helps you identify areas that should be delegated or eliminated. The goal is to free up your time so you can focus on what you do best—leading and growing your business.
4. Conduct Quarterly Time Audits
Every quarter, perform a time audit. This is a review of where your time and energy have been spent. At the end of each quarter, assess how effectively you’ve used your time and identify any areas for improvement.
Being aware of your time usage allows you to make necessary adjustments and stay on track with your business goals.
5. Focus on the One Thing
What’s the one thing only you can do that will drive your business forward? Focus on this.
It might be a strategic initiative or a core aspect of your business that needs your unique touch. By concentrating your efforts on this key area, you’ll make a more significant impact and see better results. Remember, the right focus can be a game-changer.
6. Identify What You’re Not Doing
Alongside your ‘don’t-do’ list, create a ‘not-doing’ list. This isn’t about what you’re doing poorly, but rather what you should be doing that you’re currently neglecting.
Identify these gaps, and you can shift your focus to areas that need attention and improve overall productivity.
Likewise, make use of tools that can streamline your workflow and increase your productivity when at the computer.
7. Implement CEO Strategic Time for Productivity
This is my favorite tip of all: dedicated CEO strategic time. Block out a day (or at least a morning) where you’re not bogged down by meetings or calls. Instead, use this time to think, strategize, and plan. Whether you’re working in a cozy coffee shop or your inspiring office, this uninterrupted time is crucial for strategic thinking and scaling your business.
